Westchester New York based Architectural and Engineering firm seeks a qualified individual for the position of Filing/Sign off Coordinator. The successful candidate will be responsible for coordinating filings for new DOB permits as well as DOB sign-offs and NYC Landmarks permits and sign-offs.
 
Individuals must have a minimum of 2- 5 years’ experience. The position is an in-office job that includes adhering to a filing strategy, preparation of applications, coordination of documents through issuance of Letter of Completion, TCO, Final C of O or withdrawals. Strong administrative and project management skills are critical to this position. A thorough understanding of the DOB permit process including familiarity with special inspections and all Borough C of O processes are critical. Individuals must be capable of multi-tasking and balancing a demanding list of responsibilities. Candidates must be able to populate excel spreadsheets with open application requirements for close outs and be able to email clients with status and updates regularly.
 
Individuals selected for this position will be expected to generate complex reports, communicate with clients, and maintain accurate records. The ability to speak clearly and convey ideas, as well as excellent writing skills is a must for this position.
 
Position Requirements:
 
  • Essential that candidate possess the knowledge to comply with all requirements necessary to achieve the final sign-off of a project
  • Navigate Building Information System (BIS System)
  • Working knowledge of the Department of Buildings System and Procedures, eFiling and Microsoft Office Suite
  • Coordination of all sign-off documentation needed to secure Letters of Completion
  • Multi-task in order to coordinate a large number of projects
  • Intelligently discuss projects with Clients and in-house Project Managers and coordinate accordingly with other divisions within the office
  • Strong organizational and problem-solving skills along with the ability to multi-task and work independently without constant supervision
  • Strong communication skills, both oral and written, are a must as are solid listening skills
  • Attention to detail and a team player are a must
CAD experience or architectural drawing experience a plus.
